Yes, you can write a quote with ChatGPT. You do not need to buy software for it and you do not need an account with an estimating service. But there is one thing you should not let it do, and it is exactly the thing most people ask it for first: filling in the numbers.
Can ChatGPT write a contractor quote?
Yes. For the writing, a language model is excellent: it turns your rough notes into clean line item descriptions, puts them in the right order, and attaches the exclusions. What it cannot do is set prices. It does not know your hourly rate, your purchasing or your margin, and it does not announce when it is guessing.
What to give ChatGPT
A quote is only as good as the input. In practice you need four things:
- One or more photos of the job. An overview plus detail. ChatGPT can read images and describe what is visible.
- One sentence of context. What the customer wants and what you intend to do. “Flat roof on a rear addition, customer wants a coating rather than a tear-off.”
- Your trade and how you work. A roofer writes different line items than a landscaper. Without that it stays generic.
- A hard rule about numbers. Without that rule the model fills in amounts. With it, it does not.
That last one matters most. The rule we use reads, literally:
Never calculate a price yourself. Every amount stays [PRICE] until I fill it in. Never invent square footage or material quantities you cannot read off the photo.
What goes wrong if you leave that rule out
A language model produces an invented number with exactly as much confidence as a correct sentence. That is not theory:
- An independent 2025 test found 65 to 75 percent accuracy when AI reads construction drawings, with hallucination rates of 15 to 18.7 percent on more complex tasks.
- On commercial estimates, error rates from general-purpose AI chats run as high as 15 to 40 percent.
- An analysis of AI use in trades calculates that close to 40 percent of the time saved leaks back out into correcting low-quality output.
Work that through. Save twenty minutes per quote, spend eight checking for invented figures, and you keep twelve — while still distrusting every line. How to do it, in five steps
- Take two to four photos on site: one overview, the rest detail of whatever drives the work.
- Open ChatGPT (or Claude, or Gemini — it works in any model that reads images) and paste your prompt.
- Add the photos and type that one sentence of context.
- Read the quote back and fill in the amounts. Check quantities against your own measurement, not against the photo.
- Send it, and line up your follow-up for day 3, day 7 and day 14.

Yes. ChatGPT can read images and describe what is visible: the condition of the work, visible defects and rough scope. What it cannot do reliably is measure. Square footage and quantities come from your measurement; have the model leave them blank rather than estimate them.
Is a quote written by ChatGPT legally valid?
A quote is valid because of what is in it, not because of who typed it. Make sure it carries an expiry date, your business details, a clear description of the work and a reference to your terms. Read it yourself before you send it, every time.
Which AI is best for writing estimates?
Any model that reads images works: ChatGPT, Claude and Gemini give comparable results from the same prompt. The difference sits in the prompt far more than in the model. Use the AI you already have and are used to; switching buys you little.
Do I need to pay for ChatGPT to do this?
No. The free tier of ChatGPT reads images and writes quotes. A paid plan gives you more speed and higher limits, which is pleasant if you use it daily, but it is not a requirement for this task.
Does ChatGPT invent prices if you do not ask it to?
Yes, that is the default behaviour. Ask for a complete quote without any instruction about amounts and the model will fill in plausible-looking numbers without flagging that it is guessing. One explicit rule in your prompt prevents it entirely.
